If you ask 100 people what’s a task management software, you will get 100 different definitions. People expect different things from them. Some expect a glorified to-do list, some a team collaboration tool while others a project management software. 

Simply put, a task management software tracks the lifecycle of a task from start to finish. It allows teams (or individuals) to consolidate their to-dos in one place, schedule them and ensure that they get finished on time.

To explore the top task management software, let’s first look at the baseline requirements of any good task management tool:

  • The ability to assign and track work
  • Email notifications and mobile access
  • Contextual communication
  • Kanban boards 
  • Reporting
  • Simple project planning

Here is a list of top 8 task management software in 2020 (in no particular order). This also includes project management software that does task management really well. 

1. Trello

Trello is a Kanban based task management system. Originally developed by Fog Creek Software, Trello is now owned by Atlassian. It’s one of the oldest and most widely used Kanban software in the world. 

Its stripped-down version is available for free. Paid plans start from $9.99 per user per month and go in excess of $20 per user per month for enterprises. 

  • Good – Trello is a clean and easy to use task management tool. You can track work and manage workflow in Kanban boards. You can comment on different boards to share updates. It has a free plan for unlimited users and also 200+ integrations.
  • Bad – For complete team collaboration, Trello relies heavily on integrations. It doesn’t have built-in team messaging, reporting, and project level. file management, It also lacks some critical task management features such as assigning checklist items and recurring tasks. 

2. Asana

Founded by Facebook co-founder Dustin Moskovitz and Justin Rosenstein, Asana defines itself as a work management platform that helps teams focus on goals, projects, and tasks—no matter when or where they work.

It offers a free plan for up to 15 users with basic features. The pricing ranges from $10.99 per user per month to $30.49 per user per month. It also offers custom plans for enterprises.

  • Good – Asana is a solid task management tool and is a good option for small teams that need a free tool. It also has a good selection of project templates and reports for managers. 
  • Bad – Though Asana offers Kanban, it’s UI is not optimized for it. It also relies on integrations for team messaging. Asana lacks some useful task management features such as task points (useful in Scrum) and “seen by” task alerts.

3. Taskworld

Founded by serial entrepreneur Fred Mouawad, Taskworld is a Kanban based task management software with built-in team messaging, file management, and reports. It’s like Trello, Asana, and Slack in one tool.

Taskworld’s pricing starts from $10 per user per month to $30 per user per month. It offers custom plans for enterprises. 

  • Good – Taskworld is optimized for Kanban experience and provides advanced task management features with a minimal UI. You don’t have to worry about integrating with third parties because Taskworld offers most of the team collaboration features such as team messaging, dashboards, and performance feedback. It’s available on both cloud and VPC. Furthermore, Taskworld is arguably the easiest, and most intuitive task management software. This means that new and rapidly growing teams can onboard teammates without wasting as much time or money on training.
  • Bad – Taskworld doesn’t offer a free plan (though we do offer a 14-day free trial). Due to built-in features, it offers fewer integrations than some of the other task management tools in this list. 

4. Monday

Formerly known as daPulse, Monday.com started out as an internal tool for Israeli tech giant Wix.com. It later evolved into a separate organization. Mondy refers to itself as a Work OS that teams can use to run processes and projects. 

It’s price starts from $8 per user per month and goes all the way to $20 per user per month. It also offers custom plans for enterprises. 

  • Good – Monday offers solid task management features and automation features. You can set rules designed for your workflow. For. e.g. if the status is changed, a new board is created. It offers good rich reports and dashboards. 
  • Bad – Monday’s Kanban experience is a bit erratic because the app wasn’t built around it. For example, you can’t change board names from Kanban view or drag & drop for files in Kanban. Its plans are only available in specific buckets. Monday doesn’t have built-in team messaging and relies on integration for it. 

5. Wrike

Founded in 2006, Wrike is one of the oldest cloud-based task/project management software. It offers specific plans for marketing and service delivery teams. 

Wrike offers a free plan for 5 users. Their simple paid plans range from $9.8 per user per month to $24.8 per user per month. It doesn’t disclose the price for enterprise, marketing, and service plans on its website. 

  • Good – Wrike offers all three popular collaboration interfaces – list, Kanban, and table. It offers advanced reporting and 400+ integrations. Wrike’s marketing plan offers some nice features such as proofing (reviewing images, video, pdf, etc.) and publishing (uploading assets via Wrike). 
  • Bad – Wrke doesn’t offer a monthly option for most of its plans. You have to subscribe for an entire year. It is not optimized for Kanban flow. You can’t drag and drop files, add custom tags on boards or assign checklist items. You can’t create new boards or edit their names from the kanban view. It doesn’t offer task reminders which is an important task management feature. Like most task management tools, Wrike relies on integrations for team messaging. 

6. MS Planner 

Microsoft Planner is a work tracking tool that’s part of the MS 365 suite (formerly Office 365). It focuses on simple task management and work tracking features. 

You can’t purchase a standalone subscription of Planner and need MS 365 subscription. It’s price ranges from $5 per user per month to $57 per user per month. 

  • Good – Planner offers a good Kanban experience and includes most of the features that you need in a simple task management tool. If you already have an MS 365 subscription, Planner is a good Kanban option because you’ll get it for free.
  • Bad – Planner lacks rich reports and messaging features. Its integration with Teams (the chat platform in MS 365) is not seamless. You can’t subscribe to Planner without having MS 365 subscription. This can be expensive because most MS 365 plans are only available on an annual subscription.

7. MeisterTask

MeisterTask is a task management tool that’s designed for agile workflows. It’s a popular work tracking tool, especially among smaller teams. 

MeisterTask is available for free for up to 3 projects. It’s pricing ranges from $4.19 per user per month to $10.39 per user per month. It offers a custom plan for enterprises. 

  • Good – MeisterTask is an easy to use simple Kanban based task management tool. Its free option and clean interface make it a popular option for solopreneurs and small teams. 
  • Bad – MeisterTask lacks some important task management features such as assigning checklist items, tasks in multiple locations. It also relies on integrations for some important collaboration features such as team messaging and file management. 

8. Todoist

Todoist started out as a personal to-do list software and later evolved to offer task management to teams. It’s a simple, yet solid tool to assign tasks and track their progress.

The pricing starts from $36 per year per user. There is a stripped-down free version and a free trial of the premium plan. 

  • Good – Todoist is a simple and elegant to-do list app for individuals and even small teams will find it useful to track work. It also works really well on mobile. 
  • Bad – If you want a task management tool with Kanban or more advanced features such as tasks in multiple projects, Gantt, team chat, then Todoist isn’t for you. However, it’s a powerful tool considering its price.
